Voice & AI Data Notice

A clear, product-specific explanation of what happens when you send voice or other content to LocAI.

Before you record or upload

When you use a LocAI voice feature, the audio you submit is sent to api.locai.com.au and forwarded to LocAI’s voice-processing worker to provide the requested feature. If the recording includes another person, tell them what you are doing and obtain any permission required by the laws that apply to you. Do not upload a recording unless you have the right to do so.

1. Who handles the information

The service provider is LOCAI TECHNOLOGY PTY LTD (ABN 49 676 179 114), Suite 3, 38 Rowe St, Eastwood NSW 2122, Australia (“LocAI”, “we”, “us”). This notice supplements our Privacy Policy and Terms of Service.

2. What voice features may process

  • Audio captured by a microphone or selected and uploaded by you.
  • Speech converted into text, and text you submit for an explicitly requested voice-related processing step.
  • Settings you provide, such as language, mode, or vocabulary hints.
  • Account/API-key identifiers and technical usage details used for access control, rate limits, billing, troubleshooting, and security.

LocAI-Talk is provided for speech processing and transcription; it is not presented as a voiceprint, speaker-identity, or biometric-authentication service. Avoid submitting voice samples for identity verification or biometric analysis.

3. How the processing works

A voice request is authenticated by the LocAI API Gateway, checked against service limits, and sent to the voice-processing worker. The worker processes the submitted audio or text and returns the requested result through the API. Depending on the feature, your request may also be checked for abuse, measured for billing, and handled by infrastructure or service providers that help operate the platform.

We use the information to provide the feature you asked for, return results, calculate charges, protect the service, diagnose failures, and meet legal obligations. We do not use customer voice recordings, transcripts, prompts, or outputs to train or fine-tune models. Any materially different optional use would require a separate explanation and permission where required by law.

4. Storage and deletion

For LocAI-Talk transcription, the Gateway creates a temporary local audio file to validate recording duration and removes that file when validation completes. The audio is forwarded to the voice worker for processing. The voice billing ledger records operational metadata and a content hash, rather than the raw recording or transcript. A successful result may be retained in an encrypted retry cache for up to one hour.

These details describe the Gateway and billing path. Other operational logs, infrastructure systems, or backups may have different retention periods where needed for security, reliability, legal compliance, or recovery. The general retention rules in our Privacy Policy also apply. We do not promise that every copy is immediately erased when a request finishes.

5. Who may receive or access it

Audio and derived content may be accessed by LocAI systems and personnel who need it to provide, secure, support, or maintain the requested service, and may be processed by infrastructure/service providers acting for LocAI. We may disclose information where required by law or reasonably necessary to address security, fraud, safety, or legal claims. LocAI is based in Australia, but service infrastructure and providers may involve processing in other countries; see the Privacy Policy for international-transfer information.

6. Your responsibility when recording others

You are responsible for deciding whether you may lawfully record, upload, transcribe, or otherwise process the voices and information in your recording. Before collecting another person’s voice, provide any notice and obtain any consent or other authority required in the relevant location. Do not submit information about children, health, finances, legal matters, or other sensitive topics unless you are authorised and the service is appropriate for that use. If you use LocAI for an organisation, you are responsible for giving required privacy notices to the people whose information you submit.

7. Your privacy choices

Depending on your location, you may have rights to request access to, correction or deletion of, or limits on certain processing of your personal information. We may need to verify your identity and may retain limited records where the law allows or requires it. To make a request, email info@locai.com.au. The Privacy Policy explains the request process and applicable rights.

8. Questions or concerns
